Setup

School onboarding

When your school subscribes, we set up your tenant environment and create your first administrator account.

  1. Admin logs in and completes the school profile (name, level, term dates, logo).
  2. Create classes and streams for the current academic year.
  3. Bulk-import or manually add students and staff.
  4. Assign teacher-to-subject and teacher-to-class relationships.
  5. Configure fee structures and SMS sender ID .

User roles & permissions

ShuleMatrix ships with six default roles: Administrator, Headteacher, Head of Department, Class Teacher, Parent and Student. Each role has a fixed baseline of permissions which an Administrator can further restrict per user.

Setting up an exam

  1. Go to Examinations → New Exam, name it and select the term and classes sitting it.
  2. Set the subjects and maximum marks per subject.
  3. Assign marks-entry access to the relevant subject teachers.
  4. Once entry is complete, submit for HOD approval, then Deputy/Headteacher approval.
  5. Lock the exam to generate ranked report forms.

Recording CBC competencies

Competency ratings are entered per learner, per term, against the seven core CBC competencies. These populate automatically into the CBC report form alongside subject scores.

Fee structures

Set a fee structure per class and category (day scholar, boarder, etc). Payments recorded against a student automatically update their balance and trigger reminder SMS if enabled.

SMS notifications

ShuleMatrix sends SMS via Africa's Talking. Your Administrator configures the sender ID and which events (results published, fee reminder, attendance alert) trigger a message.
